The meeting rooms
The meeting rooms at the office are rentable free-of-charge within the opening hours of the office when they aren’t used for meetings of the office staff or for sector meetings. For instance, the student associations are warmly welcome to have meetings at the office. About twenty people can fit in the meeting room at the same time. There is a television screen in the room to which you can attach your computer.

The association lounge and studio premises
The association lounge is meeting and event facility intended for organisations included in LYY’s organisation register. The organisation of events in the association lounge is free of charge and the space is maintained by the Student Union of the University of Lapland and the University of Lapland.
The facility consist of two different sofa and a sitsit space, with tables and chairs ready for arranging sitsit. In the larger sofa space you can find a small kitchen corner with a refrigerator, microwave, coffee maker, dishwasher and sink. There is no oven in the lounge. Each user of the space is responsible for the cleanliness of the premises, cleaning supplies can be found in the larger sofa space.
The premises also house LYY’s studio premises, where organisations can produce their own podcasts, video recordings, streams or short videos. The equipment includes computers, microphones, green screen and wireless small microphones.
When reserving the association lounge and production studio facilities, you have access to the whole space. The association lounge and studio premises cannot be booked separately due to possible sound disturbance.

Do you want to organize an event in association lounge?
- Make a reservation in the booking calendar of the association lounge and studio premises (ask availability: paasihteeri(at)lyy.fi ) Also, check that there are no other reservations for that time.
- Name the person in charge of the event who has been granted a right of passage to the association lounge.
- Notify the service advisors of your event by email to kampuspalvelut@ulapland.fi about a week before the event begins. In your message, also indicate the person in charge of the event. Service advisors will inform on-duty security guards of your event.
- If the event lasts until late in the evening, the person with the right of passage must check in after 8 p.m., but no later than 10 p.m. This is done by showing a badge to either a reader outside the front door, or to a white door in the hallway. Please note that this must also be done when the space has been entered with a badge before 8 p.m. The front door should not be opened from the inside with the badge of the person in charge during the event, as this activates the alarms. After 8 p.m., when the participants leave/come to the AJ facilities, the front door must always be opened from the torque knob or by showing the access badge to the front door’s external reader.
- The person in charge with the right of passage always leaves the space last, and shows his badge to the inner reader of the front door after the others are already out. This allows association lounge mode alarms to turn on for the night.
- On Sundays, alarms are on all day and go off when logging into the space at the front door. The use of the badge must be very precise on Sundays, and the person in charge should not open the front door from the inside with a badge until the premises have been emptied.
- Participants in the events must be informed that taking a shortcut to the association lounde from inside the university is prohibited outside the university’s opening hours (i.e. after 8 p.m. on weekdays, after 4 p.m. on Saturdays, on Sundays throughout the day. Exceptional opening hours must be taken into account).
- Service advisors are to be notified of any broken property belonging to the university.
